Instructions for News Reporters Attending
2007 Euro-Asia Economic Forum
2007 Euro-Asia Economic Forum will be held on November 8-9, 2007 in Xi'an, China. We sincerely hope you to attend this forum and participate in a host of activities. In order to facilitate your reporting, the following information may help you have a clear idea of the rules for media coverage at this forum.
Deadline
·The deadline for the application of media reporters at this forum is due on October 31,2007.
Fees ·No fees are required for reporters to attend this forum.
·Reporters shall pay for the accommodation by themselves during their stay in Xi'an.
·During the conference, the reporters shall pay for their meals by themselves.
The forum will provide the beverage service at the news center and in reporter's lounges.
·On November 7 to 10, the forum will arrange for shuttle buses to take reporters from/ to the
airport and designated hotels; during the conference, shuttle buses will be arranged for
reporter’s commuting between the news center and designated hotels. Unless under special
circumstances, the forum won’t arrange individual transportation services for any media
agency.
·Free equipment and services are available at the news center, such as office desk,
internet-surfing, coping, printing, faxing; Fees are charged as required by the rules at the news
center, if TV reporters need transmit news by satellites.
Filling-in and Delivery of Application Form
·The application form for media coverage can be copied.
·Having received the application form, the reporters shall fill into the blanks in a legible and
careful manner, and submit it to their officers of their news agency for signature and
seal-stamping.
·When you submit the application form, other materials are also needed: one copy of ID card
or passport of the reporter himself/herself (A4 paper); two standardized passport color photos
of the reporter himself/herself (size: 2 inch) with his/her name written on the back; one copy
of reporter's card (If you fail to provide the reporter's card, please ask your agency for a
testimonial in a written form with seals on it.); one name card.
·The application form can be submitted in the forms of correspondence, fax, and e-mail,
while all the original documents for application must be delivered by express, post or
designated people.
·The deadline of application submission is October 31,2007. The application will no longer
be accepted later than that date. We are sorry to cause you any inconvenience, due to the
time constraint of registration.
·Your application will be dealt with when all the materials arrive. In case of missing materials
during the delivery, please prepare a spare application form and the duplicate of the related
materials for check up.
Confirmation of Your Application ·The News Division of the forum will try to achieve balanced representation numbers of the
reporters, given the manifold factors such as their countries, regions, and natures of the
media agencies. After we receive all the application materials, we will confirm the numbers
of reporters and send each and every reporter a confirmation letter by fax (In order to ensure
that you can receive it in time, see to it that your correct fax number and address are available
to us.)
·We will make the reporter's certificates based on the information they have provided. For the
sake of security, all the forum venues, including the news center, is only open to those
confirmed reporters with their basic certificates. It holds true for the cameramen and
interviewers from TV Stations.
·The information of those reporters who have applied but failed to be invited will be stored
in the database of Euro-Asia Economic Forum. We will keep in touch with you and send
you the related information and materials on this forum by email.
Hotel Reservation
·If the accepted reporters want to check in the designated hotels of the forum, please make
a reservation on their own by filling in the hotel reservation form with the confirmation
number enclosed in the confirmation letters. The designated hotel will decline the
reservation if the confirmation letter and numbers in it fail to be provided.
·In terms of the room standard as well as its price, please refer to your hotel reservation
form. Detailed standards might vary from the hotels you stay in . Each reporter can only
book a room by one confirmation number.
·The opening ceremony and plenary sessions will be held at Chanba International
Convention Center, half an hour drive from Sofitel of Accor People’s Mansion; the sub-forums
will be held at Sofitel International Convention and Exhibition Center in Accor People’
Mansion; the news center will be set in Room Bialo on the first floor, one-minute walk to the
venues of sub-forums. Apart from Chanba International Convention Center, Sofitel of Accor
People’s Mansion, Luxury Room, Embellishment Hotel, Sofitel International Convention and
Exhibition Center are all clustered in the same area.
Certificate
·The News center will make and distribute the certificate for each and every reporter at this
forum, based on the registration information accessible to us.
·After you arrive in Xi'an, please sign in and get the reporter's certificates and materials at
the forum registry in the east wing lobby of Sofitel of Accor People's Mansion from 9 a.m.
to 24 p.m. on November 7,2007.
·During the forum, reporter's certificate is exclusive to the reporter himself/herself and
denies no transfer.
News Coverage and Interview
·For the sake of security, all the venues of forum and accommodation area are only open to
the reporters with certificates. Please take note that due to the venue and other
unforeseeable situations, some of the activities allow media coverage only if you register in
advance. Therefore, the reporters, even those holding their certificates, may not participate
in all the activities of the forum.
·The reporters at the forum shall abide by the related rules of the forum, follow the
arrangement by the staff and help maintain order of the venue.
·As for other items related to the interview, please refer to the conference manuals issued
at the forum then.
